Templates

The templates page allows you to create bespoke check sheets that can be used for your checks. These sheets can be made for any type of vehicle, trailer, bus, car etc., you could also make a check sheet to be used in case of an accident, oil spill, load shift etc. This page shows you the templates that already exist as well as creating new ones or editing an existing template.

 

To enter the Check Sheets Action Page, click on the Templates option from the menu.

 

The page will change to show you the Template Name, Template Type, Expected Minutes, Expected Minutes Tolerance, Include Signature Capture, No of Items in the template, you can also edit the template and delete them if required.

 

 

Editing  or adding a new template  both use the same window (see below).

 

 

When you edit an existing template the top section and template Items will already have details in, in the screenshot above we are creating a new template so they are empty.

 

Give the template a name that describes what it will be used for. From the check boxes select the default values that will have to be completed for a check to be started.

 

These are, (Include Vehicle Registration and Include Check Type are set on as default for a new template).

 

Include Vehicle Registration – Can be used for rigids, Cab Units, Transit Vans etc, this will request the vehicle registration on the check.

Include Trailer Number – If you have separate trailers and require a check carried out on each one select this option to place a trailer no on the check sheet.

Include Odo – Ask the driver to insert the current odo value.

Include Location of Check Ask the driver to write the location the check was carried out (for when GPS signal is not available).

Include Check Type – Ask the driver to select if this is a Daily, Monthly etc check type. (Default type is daily).

 

If both Include Vehicle Registration and Include Trailer Number are selected on a single template, when a check is carried out on the application the driver will be able to say if the check is for either the Truck or the Trailer or both.

 

Place the number of minutes that you expect the check to take into the Expected Minutes tab (most people expect a check to take at least 15 minutes) in the Expected Minutes Tolerance tab place the number of minutes’ tolerance that you will accept, IE if a check should take no less than 10 minutes and you have set the Expected Minutes to be 15 place 5 in this box. 15 minutes – 5 minutes = 10 minutes.

 

If you wish the drivers to have to sign as the final step when carrying out a check then tick the Include Signature Capture option (this is not selected as default).

 

You can also add a Pre-Check Message that will be displayed just before the start of the check and a post check message to be displayed at the end of the check.

You can now start to select the items that you wish to include in the template, to do this click on the  button on each check that you wish to include, this will move them over to the Template Items box (example below).

 

 

If you move an item over that you did not mean to then clicking on the trash can icon  will move it back to the Available Check Items box.

 

Once you have the items that you wish to include in the Template Items box you can then change the order to reflect the actual order the check would be carried out in. To move the items around click and hold on the item in question and then move the item to the desired location and release the mouse button.

 

There are over 160 default items that can be chosen from and you can add to this by creating your own check items if required (see Check Items).

Once you are happy the template is correct at the bottom of the screen is the Save button  you can also click the Cancel button  if you do not wish to edit or add a new template. Both these actions will return you to the Templates main page.
